Problem

Limited survey platform

Pulsely deploys confidential organisational surveys through SurveyMonkey to assess inclusion gaps and their business impacts, with data analysed by their science team. Although the SurveyMonkey platform is effective for general surveys, it lacks specialised DEI diagnostic with deeper capabilities like advanced equity analytics, inclusion indices, and longitudinal progress tracking require going beyond the platform’s native toolkit.

Time-consuming process

The time it takes to do the survey and analyse the results is a big problem. It can take weeks or even months, so insights tend to arrive just in time for the next problem. This bottleneck makes it harder for organizations to act quickly, especially when they are keeping an eye on small DEI improvements against performance benchmarks.

Challenge

Admin first

The initial MVP focuses on building the architectural backbone of the SaaS DEI platform from an administrative perspective, as the majority of survey tools that are “one-size-fits-all” are not particularly well-suited to any individual. It addresses the constraints of generic survey infrastructures by incorporating integrated DEI analytics frameworks, customized client insights, and tools for continuous progress tracking.

The goal is clear: Compile all process steps in one place, from creating the survey to gathering and analysing data and delivering insights to actually knowing what to do next.

Reduce process timeline

Cutting down the less glamorous part of the job, manual data synchronization. With an anticipated 25% reduction in manual effort, report generation becomes faster, leaving less time for comparing and reviewing, and more time for the evaluation of the insights.

Data collection methods

In order to simplify the time-consuming and challenging aspects of report preparation, I collaborated closely with the science team to take a hard look at how data was being collected.

The goal was to untangle the nuances across products, each with its variations and scientific framework.

Automatisation process

Automating the process starts with understanding how the science and delivery teams actually get from survey design to final report, without losing their sanity along the way. By mapping the full journey (Survey design → Collection → Analysis → Reporting), the product mirrors their proven methodology.

This ensures best practices are not just documented somewhere, but built directly into the workflow, so reports stay accurate, relevant, and far less dependent on manual heroics.

Competitive analysis

As part of this process, I conducted a competitive analysis to identify strengths, weaknesses, and opportunities for innovation because understanding what others are doing well (and not so well) is still one of the fastest ways to make better decisions. In parallel, I evaluated which data visualisations were best suited to each type of analysis, improving clarity and making insights easier to grasp at a glance.

Discovery to Definition

Considering that the admin side of the platform is intended for Pulsely's internal use, where “the user,” or the science team, is already present, developing comprehensive user personas at this point felt excessive. Instead, I focused on consolidating insights from stakeholder interviews and aligning them with the methodologies used by the science team, ensuring a shared understanding of both the product goals and how data would support them.

Solution

Client campaigns

In order to ensure demographic relevance and impact, each Pulsely client can run multiple campaigns throughout the process, both to track the implementation of DEI and to customize initiatives for various internal audiences.

New campaigns

When setting up a campaign, we can select a product, in this case, a pre-created survey, along with its target audience, launch date, and deadline. Additionally, specify the information that appears in the email invitation to the survey, including the welcome message for participants.

Employees

The employee list must follow a specific structure to comply with demographic guidelines. We offer a sample document to make sure HR satisfies all specifications, enabling us to process and analyse data precisely and consistently.

Audience

Each campaign is designed to target a particular audience, and we have the ability to pre-define that audience in each client account. When a client requests it, these audiences may be altered or saved for use in future campaigns.

Users list

To oversee and manage authorised access to client's account.

New product

The specialized DEI solutions are carefully customized to cater to the organization's particular requirements and areas of focus. Every offering is specially designed to align with the company's objectives and core values, ensuring optimal impact and pertinence.

Questions

Each question contributes unique data points that are important for analysis. These questions facilitate the measurement and comparison of responses, enabling to identify trends and patterns within a company.

Furthermore, they calculate the intensity of opinions and feelings, providing a measure of the strength of attitudes. This allows for a more in-depth understanding of the respondents' perspectives and provides valuable insights into their motivations and beliefs.

Questionnaire sections

Each section focuses on distinct topics and employs varying measurements, they each yield unique results.

Track campaign

Continuously monitor the survey response rates leading up to the deadline. Subsequently, conduct a comprehensive examination of the outcomes to uncover and emphasise crucial insights.
